The Big Questions
Will we outgrow BoardSite?
Paid plans include unlimited members and committees for one organization and one board. Standard gives you the complete board portal; Advanced adds granular permissions, unlimited administrators, detailed audit trails, and meeting-level AI; Board OS adds approval workflows and permission-scoped MCP access for supported AI assistants. Multi-board and multi-organization setups are available by arrangement. If a conventional API is a requirement, ask us to confirm the scope before you buy.
Are you SOC 2 certified?
No. BoardSite is not currently SOC 2 certified, and we do not publish a certification date that we cannot promise. We do use role- and permission-based access, two-factor authentication, encrypted connections and storage, full audit logging, encrypted off-site backups, and automated vulnerability scanning. We can share security practices and control documentation under NDA and complete your security questionnaire. See the Security page, and tell us early if SOC 2 is a firm requirement.
What happens to our data if we leave?
Your organization owns its data. A complete export of the board record is available on request in standard formats; the BoardSite team currently generates the export rather than offering an automated self-service export. If you decide to leave, we will help you plan an orderly export, and remaining account data is then handled under our Terms of Service and Privacy Policy. Ask us about any retention or deletion requirement that needs to be part of your agreement.
Our board members aren't technical. Will they use it?
Board members can use a secure email link instead of remembering another password, or sign in with Google or Microsoft. The same meetings, packets, votes, and documents are available on the web and in the iOS and Android apps. The best test is a real one: use the free trial for your next board meeting, for up to 60 days, and see who needs help before you commit.
How are you this much cheaper than Boardable or Diligent?
BoardSite prices paid plans for the organization instead of charging for every director. Standard is deliberately a complete non-AI board portal with unlimited members and committees; more expensive plans add AI and deeper governance controls rather than removing basics from Standard. Prices are published, and onboarding is optional. That model keeps the price lower without hiding a seat cap or requiring a sales call to see a quote. What is BoardSite?
BoardSite is board management software that turns every meeting, document, vote, decision, and action item into one searchable record. Standard provides the complete board portal without ongoing AI. Advanced adds meeting-level AI, and Board OS adds cross-meeting memory and an assignable AI Board Secretary. It is built for nonprofit and organizational boards that want professional governance tools without enterprise complexity or per-seat pricing.
Who is BoardSite for?
BoardSite is for boards of nonprofits, associations, foundations, startups, and private or founder-led companies. It works for three kinds of boards: volunteer-run boards with no dedicated staff, staff-supported boards where managing the board is part of someone's job, and executive-supported boards run by a CEO, executive director, chief of staff, or board liaison. The right plan depends on which of those you are, which the Board Health Score can help identify.
What makes BoardSite different from other board portals?
Most board portals store files, and most AI tools summarize meetings. BoardSite connects the two: your board record becomes the context an AI Board Secretary works from, so it can answer "what did we approve last year?" or "which action items are still open?" rather than just holding documents. BoardSite also uses flat pricing with unlimited users instead of charging per board member.
How is BoardSite different from a generic AI notetaker?
Generic AI notetakers summarize what was said on a call. BoardSite remembers what happened across your board's history: the documents, votes, decisions, and action items behind the conversation. A notetaker cannot tell you whether a motion passed last quarter, which version of a policy is final, or what a committee decided two years ago. BoardSite can, because it starts with the board record.
Is BoardSite only for nonprofits?
No. BoardSite is most popular with nonprofits and associations, but it also serves startups with new boards and private, family, investor-backed, or founder-led companies with boards or advisory boards. The governance workflow (agendas, minutes, votes, documents, follow-ups) is the same across these organizations.
What does "your board's memory" mean?
It means every meeting, document, vote, decision, and action item is captured in one place and compounds over time, so the board's history stays intact even when officers, staff, or directors change. Instead of rebuilding context from scattered emails and drives each cycle, the board works from one living record, and a new member can catch up from that record rather than asking the previous secretary or the executive director.

What is the AI Board Secretary?
The AI Board Secretary works from your board's authorized record to prepare work for human review. Advanced includes AI-generated agendas, transcripts and minutes, extracted action items, and evaluations. Board OS adds full-history questions, continuity across meetings, pre-meeting briefs, workflows, and an assignable AI Board Secretary. A person reviews and approves every output.
Do Free or Standard include AI?
No. Free and Standard do not include an ongoing AI entitlement. A one-time AI-assisted first-meeting experience may be offered as a promotional sample, but it is not a Standard plan entitlement. Ongoing meeting-level AI begins on Advanced.
What is the difference between Advanced and Board OS?
Advanced includes AI-generated agendas, transcripts and reviewable minutes, extracted action items, and board evaluations. Board OS adds full-memory chat across the board's authorized history, continuity, briefs, approval workflows, and the assignable AI Board Secretary.
What does full-memory chat mean?
Ask across board history is a Board OS capability. It draws from the user's authorized meetings, minutes, decisions, documents, and action items, and remains scoped to that user's permissions.
Does the AI make decisions for the board?
No. The AI prepares drafts and answers; the board reviews and approves. It does not make board decisions or finalize official governance records on its own.

Free supports up to 10 members, 1 board and 1 committee. Standard, Advanced, and Board OS include unlimited users and committees for one organization and one board.
What is included in each plan?
Free provides manual meeting basics for up to 10 members, 1 board and 1 committee. Standard is the complete portal with unlimited users, committees, and storage but no ongoing AI. Advanced adds AI agendas, transcripts and minutes, extracted action items, evaluations, and the Public Portal. Board OS adds full-memory chat, continuity, briefs, workflows, and the AI Board Secretary.
How do Standard, Advanced, and Board OS differ?
Standard is the complete board portal without ongoing AI. Advanced adds meeting-level AI for agendas, transcripts and minutes, action items, and evaluations. Board OS adds the board-wide memory and Secretary workflow that carries work from one meeting to the next.

What are the Free plan limits?
The Free plan costs $0 and supports up to 10 members, 1 board and 1 committee. It does not include ongoing AI. To protect the platform, every free portal request is reviewed before an account is created; request one through the Get Started page.
Can I sample the AI before choosing Advanced?
A one-time AI-assisted first-meeting experience may be offered as a promotional sample. It is not an ongoing Free or Standard entitlement; ongoing AI begins on Advanced.

How does the BoardSite trial work?
Use BoardSite for your next real board meeting. Your free trial workspace stays open for up to 60 days, with no credit card required. If you choose annual billing afterward, the trial converts to term credit: 14 months for the price of 12.
What happens after I get started?
BoardSite does not offer instant self-service account creation. Use the Get Started page to request a trial workspace, a walkthrough, or a free board portal. We review each request before provisioning an account.

What core features does BoardSite include?
BoardSite offers agenda and minutes management, a meeting viewer, online voting, document storage and collaboration, board packets, RSVPs, surveys and polls, mobile apps, integrations, and board evaluations. Availability varies by plan: Standard contains the complete non-AI portal, Advanced adds evaluations and meeting-level AI, and Board OS adds cross-meeting memory and Secretary workflows.
Can I build agendas and minutes in BoardSite?
Yes. You can build an agenda from a reusable template or clone a previous meeting's, share the packet in one place, and create minutes from the same agenda with decisions and action items captured. Advanced adds AI-assisted agendas and minutes; Board OS adds full-history context and cross-meeting continuity.
Does BoardSite support online voting?
Yes. You can run motions and record votes digitally, in meetings or between them, with clear tallies and a permanent, timestamped record of every motion and outcome. Voting history becomes part of your board's memory, so the result is always verifiable later.
Does BoardSite include board evaluations?
Yes. BoardSite includes board evaluations with a library of templates, including board self-assessments, committee reviews, chair reviews, and executive director reviews, with 175+ questions across 10 templates. Responses can be collected anonymously where appropriate, and results can be tracked across cycles. Board evaluations are included on Advanced and Board OS.
Can board members RSVP and respond to surveys?
Yes. BoardSite supports RSVPs with custom questions, plus surveys, polls, and tasks, so you can gather availability and input without separate tools.
Does BoardSite have mobile apps?
Yes. BoardSite has mobile apps for iOS and Android, so board members can review materials, RSVP, vote, and join discussions between meetings from their phones.
What does BoardSite integrate with?
Standard supports core calendar, video-meeting, and cloud-storage integrations, including Zoom, Microsoft Teams, Google Drive, OneDrive, and Dropbox. Advanced and Board OS also include Slack notifications.
How does BoardSite handle documents?
Standard includes the document library, board packets, cloud-storage integration, real-time collaboration, and version history. Advanced adds document watermarking and detailed audit trails. Board OS can answer permission-scoped questions across the authorized board history.
Security, privacy, and permissions
How do board members log in?
Members can sign in with an email and password, with optional two-factor authentication (app-based or text-message code). BoardSite also supports magic-link login (a secure link sent to your email, no password needed), which is popular for quick portal access, board evaluations, and joining meetings. Google and Microsoft sign-in are supported as well. Contact us about managed single sign-on (SSO).
Can I control who sees what?
Yes. BoardSite supports role-based permissions and committee-level access, so directors, officers, committee members, and staff each see what they are allowed to see. The AI Board Secretary respects these permissions: its answers are scoped to each user's access.
Is my board's data secure?
Yes. BoardSite uses role- and permission-based access, two-factor authentication, TLS 1.2 or 1.3, volume-level managed-database encryption, encrypted object storage, full audit logging, encrypted off-site backups, and continuous automated vulnerability scanning, with weekly scheduled scans. BoardSite is hosted in the United States today, with Canadian and EU data residency in development. BoardSite is not currently SOC 2 certified. We can share our security practices, control documentation, and infrastructure details with prospective customers under NDA, and we will complete your organization's own security questionnaire as part of your evaluation. If certification is a requirement for your organization, tell us early and we'll be straight with you about where we stand.
Who owns the data in BoardSite?
Your organization owns its board data. A complete export is available on request in standard formats; the BoardSite team currently generates it rather than offering an automated self-service export. See our Terms of Service and Privacy Policy for full details.
Where is BoardSite data stored?
BoardSite is hosted in the United States today. Canadian and EU data residency are in development. Contact us to discuss residency or security requirements specific to your organization.
Does the AI train on our board's data?
No. BoardSite's AI features run on Cavendo Engine, an open-source orchestration layer hosted on BoardSite infrastructure. Board content is sent only to the model providers themselves, Anthropic and OpenAI, whose commercial terms state that customer content is not used to train their models. Provider content is retained briefly for abuse monitoring and then deleted. BoardSite retains AI content for quality review, with access limited to authorized staff and all access logged.
Migration and onboarding
Do I have to pay for onboarding?
No. Onboarding is optional. Many boards set up BoardSite themselves and start on their own. Setup, migration, and training packages are available when you want help, but they are separate one-time services, not part of your plan.
What onboarding and migration packages do you offer?
There are three optional one-time packages: Launch Essentials ($495), Launch Guided ($1,495), and Launch Complete ($3,995). Packages can be customized when a board needs a different scope. What is included in the onboarding packages?
The packages cover platform setup, moving your data and documents into BoardSite, member import and invitations, committee and permission configuration (in the larger packages), and training on the platform. Larger packages add migration of historical records and a launch checkpoint. They do not include governance consulting, bylaw or policy review, or legal review.
Is there a free way to get set up?
You can configure your approved portal yourself without purchasing onboarding. Hands-on setup, migration, and training are available as separate one-time packages: Launch Essentials, Launch Guided, and Launch Complete. No onboarding package is included with a subscription.
Can BoardSite help us switch from another platform?
Yes. Migration is about moving your board's memory intact: your documents, members, and meeting records come with you. Launch Complete includes historical migration and dedicated launch support. Migration beyond a package's included scope is priced by volume.
How long does migration take?
Timing depends on the selected package, record volume, training schedule, and workflow complexity. We confirm the launch schedule after reviewing the board's scope.
Getting started
How do I get started with BoardSite?
Use the Get Started page to run your next board meeting in a free trial workspace, request a walkthrough, or request a Free Board Portal. You can also take the Board Health Score to get a recommended plan and onboarding path based on how your board runs.
How fast can we be up and running?
After we review and approve a portal request, an account can often be provisioned within a day. You can configure the portal and create the first meeting yourself, or purchase an optional onboarding package for hands-on help moving records or standing up committees.
Do all board members need to create accounts and passwords?
No one needs a complicated login. Board members can use magic-link sign-in (a secure link by email) for portal access and for board evaluations, and we are adding it for joining meetings so members don't have to log in every time. Email-and-password with optional two-factor authentication, and Google or Microsoft sign-in, are also supported.
How do we add our board members?
Administrators can add and invite board members directly in BoardSite. If you want help, bulk member import and invitation handling are available through our optional onboarding packages.
What is the Board Health Score?
The Board Health Score is a short, free diagnostic (about four minutes) that measures governance, meetings, engagement, and action-item follow-through. It recommends a plan and onboarding package based on how your board runs. You see your score before any signup, and can choose to have the full recommendation sent afterward.
Billing and account
What payment methods do you accept?
BoardSite accepts credit cards and bank transfers, and we generate an invoice for your records.
Can I get an invoice?
Yes. BoardSite generates an invoice for your subscription, and you can pay by credit card or bank transfer.
How do I cancel, and what happens to our data?
You can cancel, and you can export your board data. See our Terms of Service and Privacy Policy for the full cancellation and data-retention details.
Is there a contract or minimum term?
Standard, Advanced, and Board OS are available either on an annual term or month to month at the published rate. Annual plans run for the term you prepaid, per our Terms of Service.
Support
What support is included?
All paid plans include email support. In-app support chat begins on Advanced, and Board OS adds phone support and priority response. Everyone can access the public Help Center at /support/.
Where can I find documentation?
BoardSite's documentation and tutorials live in the Help Center at /support/. It covers setup and how-to guidance for using the platform.
