How do I create and schedule an evaluation?

Users with evaluation-creation permission can start from a template, choose recipients, and configure anonymity, reminders, committee scope, and recurrence.

Important notification warning: If the start date is today or earlier, BoardSite activates the evaluation and sends invitations when you create it. A future start date creates a draft that can be reviewed before activation.

Create the evaluation #

  1. Open Evaluations → Create Evaluation. You can also select Use Template from the dashboard.
  2. Choose a Template.
  3. Enter the required Title and optional Description.
  4. Set the Start Date and End Date. The end date must be after the start date.
  5. Optionally select a Committee. Leave Not committee-specific selected for an organization-wide evaluation.
  6. Choose the settings:
    • Anonymous Responses hides respondent identities in management and results views.
    • Reminder Frequency (days) controls how often incomplete respondents should be reminded.
    • Recurrence can be None, Weekly, Monthly, Quarterly, Semi-Annual, or Annual.
  7. Select one or more Recipients. Use Select All, Deselect All, or Committee Members Only carefully.
  8. Review the template, dates, anonymity choice, committee, recurrence, and recipient count.
  9. Select Create Evaluation.

Manage a draft #

A future-dated evaluation is created as a draft. Open its management page to review invitation progress, preview the questions, edit the evaluation, or select Activate Evaluation. Activating sends invitations.

Manage an active evaluation #

  • Review total, completed, in-progress, and not-started counts.
  • Use Copy Link only to deliver an individual recipient’s invitation securely.
  • Send Reminders contacts incomplete recipients.
  • Close Evaluation ends the evaluation’s active lifecycle.
  • Preview Evaluation checks the respondent layout without submitting responses.

Privacy note: Invitation links are recipient-specific access links. Do not place them in public documents, screenshots, shared tickets, or broad messages.

Troubleshooting #

  • If a template is missing, confirm that it is active.
  • If a recipient is missing, confirm that the person belongs to the current organization.
  • If a committee is missing, confirm that it belongs to the current organization and is available to your role.
  • If an evaluation remains Active after its end date, an evaluation manager may need to close it manually.
